Basis Developments Ltd are pleased to introduce you to the Basis (Business Accounting Software / Information System) Warehouse Management System which has been specifically designed to meet the needs of the Cool/Cold Store operator.

Inventory Control

Inventory Control

  This WMS provides detailed views of all products held within your facility.  Inventory Control   identifies products by Owner, Manufacturing Plant, Product Code, Shipment, Pallet/Bin/Frame, Kill/Slaughter/Production Date and individual item ID if Barcodes are uniquely applied.  Detailed information on current stocks, historical shipments (Both in and out), and Inventory Lots are available at any time.
  

Advanced Shipping Notification (ASN)

ASN provides the mechanism for managing and reporting on all inbound loads.  Every receipt of product is assigned an ASN # which may optionally be predetermined within the system.  Regardless of what happens to the product after receiving, the ASN Mechanism will allow you to produce all necessary audit and confirmation details to verify the correct receiving of a load. 

Order Processing System (OPS)

OPS

OPS provides the mechanism for managing and reporting on all outbound loads.  Initiated by a load advice from the owner of the product, the OPS provides specific product allocations, pick lists, product selection and load out validation including Owner, Product Code, Date Range, Quantity and Weight, as well as Item Status.  The OPS will allow you to produce all necessary audit and confirmation details to verify the correct sending of the load including Container, Seal and Temperature Details.

Product Location

Product LocationBuilt in to the Basis WMS are multiple levels of Product Location capability.  Each Facility can define as many different Storage Rooms as required.  Each room may then optionally have storage locations defined in 1, 2, or 3 Dimensions depending on the storage modes used within each room.  Greater efficiency in Product Location is achieved when greater detail in location definition is used. Locations can be either manually entered or scanned from Barcodes. 

Product Labelling Module (PLM)

PLMUsing the Basis Product Labelling Module you are able to dramatically improve efficiency and accuracy with Inventory Control, Storage Locations, Product Status Management, and Product Selection.  This module can produce all necessary Barcode Labels to label each storage location for scanning products during putaway.  In addition every Frame/Pallet/Bin/Stillage is assigned a unique disposable Number on arrival to your facility.  This number is used by the system for all scanning and status management while also providing a visual reference as to the Owner of the Product as well as the Contents of the Frame/Pallet/Bin/Stillage if required. 

Traceability

TraceabilityDue to the perishable nature of the products managed by this system and the recent emergence of worldwide terrorism which can target consumable goods that pass across national and international borders, it is now essential that each participant in the supply chain takes responsibility for the traceability of all product that they manage. Basis provides the means by which you can easily identify the source and destination of every product that you have had in store.  Using the built in traceability system you can also easily identify the multiple destinations of like product, or products received in a specific load. Product Recalls can be performed easily and managed with minimal disruption to normal business. The use of either Barcode Technology or the new emerging RFID technologies allow the task of traceability to become a by-product of normal business operations.

Certification

NZFSAMAFHand in Hand with the Traceability of the products is the need for Country to Country Certification of Products as they pass through the Supply Chain.  This certification allows the end user to have confidence in every aspect of the supply chain from Manufacture to consumption.  New Zealand is leading the world with its use of Electronic Certification Methods, including licensing of the individual participants in the supply chain, mandatory use of the Government Sponsored Electronic Certification System for ALL Inter-Party product movements regardless if they stay within New Zealand or are Exported.   Basis has harnessed the features of the NZ Ecert System and built in a full interface that makes the issues of certification and compliance with national and international marketplace requirements a by-product of normal business operations.  The Basis tools developed to interface to the MAF (NZFS) Web site also minimise the incidence of MAF Charges for the use of the mandatory certification system. 

Status Management

In addition to standard Inventory Control basis has added a number of additional Status Management Facilities as follows.

Product States:

A product may exist in one of a number of different states within your facility. Eg Frozen or Chilled, and at times may change its state while in your facility ie By Freezing Product Down. Basis tracks the current state of each product within your facility and allows for differentiation of product by product state.

Pallet Status:

All product is stored on a Pallet/Bin/Stillage or other storage device.  Each of these devices is assigned a unique ID within Basis to assist with storage location management, and each storage device can be assigned one of a range of User Definable Status Codes.  Each Status Code can determine the actions permitted for product on that Pallet such as Load In, Load Out, Transfer etc.

Batch Status:

If Batch Details are available for product in store, Basis is able to manage Hold and Condition Status by Batch.

All of these status conditions can be applied to an item concurrently.

Accounting

AccountingUsing the Basis Credit Management System in conjunction with the Basis Warehouse Management System you are able to manage the accounting requirements of your organisation.  Storage Charge Rates can be determined individually for each client, with independent charge mechanisms available for each product if required, and can be based on Units, Weight and Pallet Spaces or equivalents.  In addition Ancillary Charge codes can be defined for other chargeable items such as Container Loading, Certification Fees, Blast Freezing etc.  These can also be configured individually for each customer. Using the Accounting facilities included you are able to create storage and ancillary invoices for weekly, fortnightly and monthly movement periods, as well as manage all Accounts Receivable functions associated with managing your customers accounts.

Remote Access

Remote AccessUsing Microsoft Terminal services or Citrix Basis is able to provide a customizable Options menu for use by your customers who require remote access to their inventory records.  Access to the system is via a User Logon which restricts access to only the inventory details related to the linked customer code.

Scalable Systems

Scaleable SystemsMSSQLThe Basis WMS has been designed to provide functionality from the very small facility that might operate on a single PC (eg Less Than 1000 Tonne Capacity) right up to the Very Large facility that has an extensive Server based network with multiple RF handheld scanners and fork truck kits (Over 100,000 Tonne Capacity).  Using currently available technologies from Symbol, Intermec and PSC for Batch and/or Radio Frequency Scanning in conjunction with Basis Software driving either a Dataflex or Microsoft SQL Database, the power of Basis can be put in the hands of managers, operational staff, warehouse staff and even your own clients using remote connectivity options from either Microsoft or Citrix.  If required you are able to build your own Web Based interface to our MS-SQL Based Product for full Web enablement if required.  With nearly 20 years experience providing Warehouse Management systems to the Cool/Cold Chain in New Zealand, Australia, United States, Canada and Mexico, Basis are well equipped to design a system suitable for your specific requirements.

While the above specifies the minimum requirements, we recommend that you install the highest power equipment that is available within your budget.  All Servers must have the ability to disable Write Behind caching.   All Systems require remote access capability for support purposes using Microsoft Terminal Services or Citrix  All Systems should have appropriate backup devices installed as well as Virus and Blended Threat Protection.
